You need to print a document, and your printer — which worked fine yesterday — suddenly can't find the WiFi. The screen says "offline." Your computer says "printer not found." And you're about five seconds away from throwing it out the window.

Take a breath. This is one of the most common tech problems we see, and it's almost always fixable in under 10 minutes. Here's what to do, step by step.

1. Check the Basics First

Before diving into settings, rule out the obvious:

  • Is the printer plugged in and turned on? (You'd be surprised how often it's not.)
  • Is your WiFi working on other devices? Try loading a website on your phone using WiFi — not cellular data.
  • Is the printer close enough to your router? If it's in a different room with thick walls, that could be the problem.

2. Restart Everything (Yes, Really)

Turn it off and turn it back on isn't a joke — it's genuinely the fix about 40% of the time.

  1. Turn off your printer and unplug it from the wall for 30 seconds.
  2. Unplug your WiFi router and modem for 30 seconds.
  3. Plug the modem back in first. Wait until all the lights are stable.
  4. Plug the router back in. Wait until the WiFi light is solid.
  5. Plug the printer back in and turn it on.
  6. Wait 2 minutes, then try printing again.

3. Reconnect the Printer to WiFi

Most modern printers have a WiFi setup mode. Here's how to get there:

For HP printers:

  1. Press and hold the WiFi button and the Cancel button at the same time for 3 seconds.
  2. The power button should start blinking. This means it's ready to connect.
  3. On your computer, go to HP Smart (download it free from hp.com if you don't have it) and follow the prompts to connect your printer.

For Canon printers:

  1. Press and hold the WiFi button until the power light flashes.
  2. Press the Color button, then the WiFi button again.
  3. The power light should stay on. Now run the setup from the Canon software on your computer.

For Epson printers:

  1. Press the Home button, then select WiFi Setup.
  2. Choose WiFi Setup Wizard and select your network name from the list.
  3. Enter your WiFi password using the arrow keys.

4. Check If Your Computer Is Looking for the Right Printer

Sometimes the printer reconnects just fine, but your computer is still trying to talk to the "old" version of the printer.

On Windows:

  1. Click the Start button → SettingsBluetooth & devicesPrinters & scanners.
  2. Find your printer in the list. If it says "Offline," click it and select Open print queue, then click Printer in the menu bar and uncheck Use Printer Offline.
  3. If you see multiple copies of your printer (like "HP OfficeJet" and "HP OfficeJet (Copy 1)"), remove the old ones and keep only the one that says Status: Ready.

5. When to Call for Help

If you've tried all of the above and your printer still won't connect, here are the signs that it's time to call someone:

  • The printer's screen is blank or showing an error code you can't clear.
  • You recently got a new router and can't figure out how to reconnect anything.
  • The printer is more than 8 years old and keeps dropping the connection no matter what you do.
  • You need scan-to-email set up and can't get it working.

Prevention: How to Stop This From Happening Again

  • Write down your WiFi name and password and tape it to the side of your router. You'll need it every time you add a new device.
  • Don't change your WiFi name when you get a new router. Ask your internet installer to keep the same name and password — then your printer (and everything else) reconnects automatically.
  • Keep your printer's software updated. HP Smart, Canon PRINT, and Epson software will all prompt you when updates are available.
